Configuring your ROUND0 account, API keys, webhooks, and company information

Settings & Configuration

Customize your ROUND0 experience through the Settings page.

Account Settings

Access settings by clicking your avatar → Settings in the top navigation.

API Keys

Manage API keys for programmatic access to ROUND0.

API Keys require an active Connectivity Package subscription.

Creating an API Key

  1. Navigate to SettingsAPI Keys
  2. Click Create API Key
  3. Enter a descriptive name (e.g., "Production ATS Integration", "Staging Environment")
  4. Click Create
  5. Copy the API key immediately - it will only be shown once

API key format:

Important: Store your API key securely. It cannot be retrieved after creation. If lost, create a new key and revoke the old one.

Managing API Keys

View keys:

  • Name and prefix (e.g., rz_live_abcd...)
  • Creation date
  • Last used timestamp
  • Never used indicator

Revoke keys:

  1. Find the key in the list
  2. Click Delete or Revoke
  3. Confirm deletion
  4. Key is immediately invalidated

Best practices:

  • Use descriptive names to identify each key's purpose
  • Create separate keys for different environments (dev, staging, production)
  • Create separate keys for different integrations
  • Rotate keys periodically for security
  • Revoke keys immediately if compromised

Key Security

  • Store keys in environment variables, never in code
  • Never commit keys to version control
  • Use secrets management services (AWS Secrets Manager, HashiCorp Vault, etc.)
  • Limit access to keys within your organization
  • Monitor "Last Used" to detect unauthorized use

Company Information

Customize your company profile for branded interview experiences.

Most company branding features require the Employer Branding subscription.

Company Name

  • Your organization's name
  • Displayed in candidate-facing pages
  • Available on all plans

Requires: Employer Branding subscription

  1. Navigate to SettingsCompany Info
  2. Click Upload Logo
  3. Select image file:
    • Formats: PNG, JPG, SVG
    • Max size: 5MB
    • Recommended: Square or horizontal logo, 400x400px minimum
  4. Click Save

Where logo appears:

  • Interview welcome screen
  • Interview completion screen
  • Candidate-facing pages

Custom Intro Message

Requires: Employer Branding subscription

Create a personalized welcome message for candidates:

  1. Navigate to SettingsCompany Info
  2. Enter text in Intro Message field
  3. Click Save

Example:

Welcome to the screening interview for [Company Name]!

This interview will take approximately 15 minutes. Please ensure you're in a quiet environment with a working microphone.

Answer each question thoughtfully - there are no right or wrong answers. We're interested in learning about your experience and approach to problem-solving.

Good luck!

Limitations:

  • Max 500 characters
  • Plain text only (no markdown or HTML)
  • Displayed before interview begins

Custom Outro Message

Requires: Employer Branding subscription

Create a thank-you message shown after completion:

  1. Navigate to SettingsCompany Info
  2. Enter text in Outro Message field
  3. Click Save

Example:

Thank you for completing the screening interview!

Our team will review your responses and get back to you within 3-5 business days.

We appreciate your time and interest in joining our team.

Limitations:

  • Max 500 characters
  • Plain text only
  • Displayed after final question

Remove Watermark

Requires: Employer Branding subscription

When enabled, removes "Powered by ROUND0" branding from candidate-facing pages.

  • Toggle in SettingsCompany Info
  • Takes effect immediately for new interviews
  • Existing interviews keep original branding

Company Documents

Upload company information that the AI interviewer can reference during candidate interviews. This feature uses AI-powered retrieval to answer candidate questions and provide relevant context about your company.

Company Documents require an active subscription (not available during trial period).

What Company Documents Do

Company Documents enhance your interviews by:

  • Answering candidate questions: When candidates ask about your company, the AI retrieves relevant information from your documents
  • Providing context: The AI uses company information to ask more targeted, relevant questions
  • Personalizing interviews: Candidates get accurate information about your products, culture, values, and more

Use cases:

  • Product information and technical documentation
  • Company values and culture descriptions
  • Team structure and organizational information
  • Benefits and perks descriptions
  • Office locations and work environment details
  • Company history and mission statements

Adding Company Documents

Navigate to Company Information page to manage your documents.

Upload a Document

  1. Click Add More or Get Started
  2. Select Upload Document tab
  3. Choose your file:
    • Formats: PDF, DOCX
    • Max size: 10MB
    • Content: Any company-related information
  4. Enter a descriptive title (e.g., "Product Overview", "Company Culture Guide")
  5. Click Upload
  6. Wait for processing to complete (typically 30-60 seconds)

Processing:

  • Documents are automatically split into smaller chunks
  • Each chunk is analyzed and indexed for semantic search
  • Status indicators show: Processing, Completed, or Failed
  • Failed documents can be deleted and re-uploaded

Add Text Information

  1. Click Add More or Get Started
  2. Select Add Text tab
  3. Enter a title for this information (e.g., "About Our Product", "Engineering Culture")
  4. Write or paste your text content
  5. Click Save

Best practices:

  • Keep text focused on a single topic
  • Use clear, concise language
  • Include relevant details candidates might ask about
  • Maximum length: No hard limit, but concise content works best

Managing Documents

View your documents:

  • See title, type (PDF, DOCX, or Text), and creation date
  • Processing status indicator
  • Total entry count (max 10 entries)

Document information:

  • Title and document type
  • Added timestamp (e.g., "Added 2 days ago")
  • Processing status with visual indicators
  • Failed documents show error state

Delete documents:

  1. Click the delete icon on any document
  2. Confirm deletion
  3. Document and its indexed content are permanently removed
  4. The AI will no longer use this information in interviews

Limits:

  • Maximum 10 documents/entries per account
  • Mix of uploaded files and text entries
  • Counter shows current usage: "X/10 entries"

How the AI Uses Your Documents

During interviews:

  1. Candidate asks a question about your company
  2. AI performs semantic search across your documents
  3. Retrieves the most relevant information (top 5 chunks)
  4. Uses retrieved context to formulate an accurate answer
  5. Answers are based on your actual company information

Semantic search:

  • AI understands meaning, not just keywords
  • Finds relevant information even with different wording
  • Similarity threshold: 70% (adjustable)
  • Returns chunks ranked by relevance

Example:

Candidate: "What is your company's approach to work-life balance?"

AI retrieves relevant chunks from documents titled:
- "Company Culture Guide" (Similarity: 92%)
- "Benefits Overview" (Similarity: 85%)
- "Remote Work Policy" (Similarity: 78%)

AI response: "Based on our company information, we offer flexible working
hours, unlimited PTO, and a remote-first culture that prioritizes
work-life balance..."

Best Practices

Content recommendations:

  • Upload comprehensive but focused documents
  • Keep information current and accurate
  • Include FAQs that candidates commonly ask
  • Cover products, culture, benefits, and team structure
  • Use clear, professional language

Organization tips:

  • Use descriptive titles for easy identification
  • Break large documents into focused topics
  • Update documents when information changes
  • Remove outdated information promptly

What to include:

  • ✓ Product documentation and features
  • ✓ Company values and mission
  • ✓ Team culture and working environment
  • ✓ Benefits and compensation philosophy
  • ✓ Growth and development opportunities
  • ✓ Office locations and facilities

What to avoid:

  • ✗ Confidential or sensitive information
  • ✗ Competitive intelligence or trade secrets
  • ✗ Personal employee information
  • ✗ Financial data not meant for candidates
  • ✗ Internal-only policies or procedures

Troubleshooting

Document processing failed:

  • Check file size is under 10MB
  • Ensure file is not corrupted or password-protected
  • Try converting to PDF if using DOCX
  • Check file contains extractable text (not just images)
  • Delete and re-upload if issue persists

AI not using my documents:

  • Ensure documents show "Completed" status
  • Check that document content is relevant to the question
  • Verify you're not on a trial account (feature requires credits)
  • Content might not meet similarity threshold (70%)
  • Try adding more detailed information on the topic

Reached document limit:

  • Maximum 10 entries per account
  • Delete unused or outdated documents to make room
  • Combine related text entries into comprehensive documents
  • Prioritize most important company information

Voice Settings

Configure which voice conducts the interviews.

Default Voice

Choose the default voice for all new interviews:

  1. Navigate to SettingsVoice
  2. Select from available voices:
    • Pre-configured ROUND0 professional voices
    • Your custom cloned voice (if created)
  3. Click Save

Voice options:

  • Professional Male - Deep, clear professional voice
  • Professional Female - Warm, professional voice
  • Custom Voice - Your cloned voice (Employer Branding required)

Voice Preview

  • Click the play button next to each voice to hear a sample
  • Preview includes actual interview-style speech
  • Helps you choose the best voice for your brand

Custom Voice Cloning

Requires: Employer Branding subscription

Create a custom voice clone:

  1. Navigate to SettingsVoiceVoice Cloning
  2. Click Create Custom Voice
  3. Record or upload audio:
    • Duration: 60-180 seconds
    • Quality: Clear audio, minimal background noise
    • Format: MP3, WAV, M4A, WEBM
    • Max file size: 10MB
  4. Enter a name for your voice (e.g., "CEO Voice", "Recruiter Voice")
  5. Click Create
  6. Wait 1-2 minutes for processing
  7. Voice appears in voice selector

Recording tips:

  • Use a good quality microphone
  • Record in a quiet environment
  • Speak naturally and conversationally
  • Read varied content (not just repeated phrases)
  • Aim for 90-120 seconds of speech

Limitations:

  • Only one custom voice can be stored at a time
  • Trial users cannot create custom voices
  • Replace your existing voice by recording a new one

Managing custom voices:

  • Delete: Removes voice permanently
  • Replace: Record a new voice to replace the current one
  • Set as default: Make it the default for all new interviews

Webhooks

Configure webhook notifications for interview events.

Webhooks require the Connectivity Package subscription.

Setting Up Webhooks

  1. Navigate to SettingsWebhooks
  2. Click Create Webhook
  3. Enter your HTTPS endpoint URL
  4. Click Create
  5. Copy the webhook secret immediately - shown only once
HTTPS Required: Webhook URLs must use HTTPS. HTTP URLs will be rejected.

Webhook Configuration

Webhook URL:

  • Must be publicly accessible
  • Must use HTTPS
  • Should respond within 10 seconds
  • Must return 2xx status code for success

Webhook Secret:

  • Used to verify webhook signatures
  • Format: whsec_ + 64 hex characters
  • Store securely in your environment
  • Cannot be retrieved after creation

Managing Webhooks

Edit webhook:

  • Update URL
  • Cannot edit secret (rotate instead)

Test webhook:

  1. Click Send Test Event
  2. Select event type
  3. Check your endpoint receives the test

Rotate secret:

  1. Click Rotate Secret
  2. Copy new secret
  3. Update your server configuration
  4. Old secret immediately invalidated

Delete webhook:

  • Permanently removes webhook configuration
  • Stops all event deliveries
  • Cannot be undone

Webhook Deliveries

View webhook delivery history:

  1. Navigate to SettingsWebhooksDeliveries
  2. See all delivery attempts:
    • Event type
    • Status (success, failed, retrying)
    • Timestamp
    • HTTP response code
    • Error message (if failed)
    • Retry count

Filter deliveries:

  • By status: Success, Failed, Retrying
  • By event type: interview_started, interview_ended
  • By date range

Debug failed deliveries:

  • Click on a delivery to see details
  • View request payload
  • View response received
  • See retry history and schedule

Webhook Events

ROUND0 sends two types of webhook events:

  1. interview_started: When candidate begins interview
  2. interview_ended: When candidate completes interview

Billing & Subscriptions

Manage your credits, purchases, and subscriptions.

Credit Balance

View your current credit status:

  • Total Balance: All credits you own
  • Available Credits: Credits not reserved for pending interviews
  • Reserved Credits: Credits allocated to pending interviews
  • Lifetime Purchased: Total credits bought since account creation
  • Lifetime Consumed: Total credits used for interviews

Purchase Credits

  1. Navigate to SettingsBillingCredits
  2. Select a credit bundle.
  3. Click Checkout
  4. Complete payment via Stripe
  5. Credits added immediately
  6. Confirmation email sent

Transaction History

View all credit movements:

  1. Navigate to SettingsBillingTransactions
  2. See:
    • Date and time
    • Type (purchase, consumption, expiration, trial grant)
    • Amount (positive or negative)
    • Description
    • Remaining balance

Export transactions:

  • Click Export CSV for accounting purposes
  • Includes all transaction details

Subscriptions

Manage your subscription plans:

Active Subscriptions:

  • Employer Branding
  • Connectivity Package

Subscribe:

  1. Navigate to SettingsBillingSubscriptions
  2. Click Subscribe on desired plan
  3. Complete payment via Stripe
  4. Features activate immediately

Manage Subscription:

  1. Click Manage next to active subscription
  2. Opens Stripe Customer Portal
  3. Update payment method
  4. View invoices
  5. Cancel subscription (access continues until end of period)

Invoices

Access all billing invoices:

  1. Navigate to SettingsBillingInvoices
  2. View:
    • Invoice date
    • Description (credit purchase or subscription)
    • Amount
    • Status (paid, pending, failed)
  3. Click Download for PDF invoice

Account Security

Email Settings

  • View your account email
  • Update email (requires verification)
  • Manage email notification preferences

Password

Change your password:

  1. Navigate to SettingsSecurity
  2. Click Change Password
  3. Enter current password
  4. Enter new password
  5. Confirm new password
  6. Click Save

Password requirements:

  • Minimum 8 characters
  • At least one uppercase letter
  • At least one lowercase letter
  • At least one number

Two-Factor Authentication (2FA)

Status: Coming soon

Enable 2FA for additional security:

  • Authenticator app (TOTP)
  • SMS backup codes
  • Recovery codes

Notifications

Configure email notifications:

Interview Notifications

  • Interview Started: Email when candidate begins interview
  • Interview Completed: Email when candidate finishes
  • Interview Expired: Email when unused interview expires

Billing Notifications

  • Purchase Confirmation: Receipt emails for credit purchases
  • Low Credit Warning: Alert when credits running low
  • Credit Expiration: Warning before credits expire (30 days, 7 days)
  • Subscription Renewal: Upcoming subscription charge
  • Payment Failed: Failed subscription payment

System Notifications

  • Product Updates: New features and improvements
  • Maintenance Notifications: Scheduled downtime
  • Security Alerts: Important security information

Manage notifications:

  1. Navigate to SettingsNotifications
  2. Toggle individual notification types
  3. Changes save automatically

Data & Privacy

Data Export

Export your ROUND0 data:

  1. Navigate to SettingsData & Privacy
  2. Click Export Data
  3. Receive download link via email (within 24 hours)
  4. Export includes:
    • Jobs
    • Candidates
    • Interviews
    • Interview transcripts
    • Credit transaction history

Format: JSON or CSV

Delete Account

Permanently delete your ROUND0 account:

  1. Navigate to SettingsData & Privacy
  2. Click Delete Account
  3. Confirm deletion (irreversible)
  4. Account and all data deleted within 30 days
Warning: Account deletion is permanent and cannot be undone. All interviews, transcripts, and data will be permanently deleted.

Before deleting:

  • Export your data if needed
  • Cancel active subscriptions
  • Note that unused credits are non-refundable

Integration Settings

Locale/Language

Set default language for interviews:

  1. Navigate to SettingsPreferences
  2. Select default locale:
    • English (en)
    • Spanish (es)
    • French (fr)
    • German (de)
  3. Applies to all new interviews (can override per interview)

Time Zone

Set your time zone for accurate timestamps:

  1. Navigate to SettingsPreferences
  2. Select your time zone
  3. Affects display of dates/times throughout the platform

Troubleshooting

API Key Not Working

Problem: API requests return 401 or 403

Check:

  • API key is correct (starts with rz_live_)
  • Connectivity Package subscription is active
  • Key hasn't been revoked
  • Using correct header: Authorization: Bearer rz_live_...

Webhook Not Receiving Events

Problem: No webhooks being delivered

Check:

  • Connectivity Package subscription is active
  • Webhook URL is HTTPS (not HTTP)
  • Endpoint is publicly accessible
  • Server responds within 10 seconds
  • Returns 2xx status code
  • Check delivery history for error messages

Voice Clone Failed

Problem: Custom voice creation failed

Check:

  • Audio is 60-180 seconds long
  • File size under 10MB
  • Audio quality is clear
  • Background noise is minimal
  • File contains actual speech (not silence or music)

Can't Access Settings

Problem: Settings page not loading

Try:

  • Refresh the page
  • Clear browser cache
  • Try incognito/private mode
  • Check browser console for errors
  • Contact support if persists
